A guide to using Jurnal Manager from connecting OJS to a publication-ready galley. Labels show feature status: Available works today, Coming soon is in progress.
Quick start
- Sign in with the username and password from your admin.
- Open Koneksi (Connections; admin), paste your OJS journal URL, then Connect & sync.
- Go to Naskah → Import DOCX or paste an OJS workflow URL in the Import from OJS card.
- Edit in the Editor, review the Cek (Check) and JATS XML tabs.
- Download JATS XML, PDF and HTML in the Ekspor (Export) tab, then mark the manuscript Published.
Importing manuscripts
DOCX Available
Two ways: (1) the journal’s official author template (download it on the Import page, choose the journal profile) whose “Manuscript info” and “Authors” tables are read exactly; (2) a free-form DOCX, read with heuristics: title, author line and numbered affiliations, abstract, keywords, capitalized section headings (INTRODUCTION, METHODS, …), tables, images and the reference list. Heuristic results are always flagged for review.
JATS XML Available
Upload a JATS .xml (e.g. from OJS or another tool); the structure is read into a manuscript and validated.
From OJS Available
Import → Import from OJS: paste a URL like …/JPMKT/en/dashboard/editorial?…workflowSubmissionId=309… or just the submission number. Authors, affiliations, abstract and keywords come through REST; the manuscript body comes from the latest DOCX in Files for Review when an OJS service account is configured (see OJS connection).
Per-journal template profiles
Every journal has its own rules; a profile holds margins, columns, fonts, header/footer, abstract and keyword rules. Available
| Journal | Page | Abstract | Keywords | Citations |
|---|---|---|---|---|
| JPMKT | A4, 3 cm margins, 1 column, TNR 12, 1.5 spacing | ID + EN, 250–300 words | 3–5, “;” separated | APA (name, year) |
| JKMD | A4, 3 cm margins, 2-column body | ID + EN, 250–300 words | max 5, “;” separated | APA |
| JHSNS | A4, 2.54 cm margins, 2-column body | Structured EN (Background…Conclusion), max 250 words | 3–10 | — |
Other journals use the General profile; custom profiles can be added. Profiles drive PDF/HTML rendering, the readiness check and the downloadable author template.
Editor
An Office-style visual editor with a ribbon (File, Home, Insert, Layout, References, Review, View, Help, JATS) and sliding drawers (Metadata, Authors, References, Warnings) that never shrink the page. Available
- Paragraph styles, bold/italic/underline, sub/superscript, lists, quotes.
- Tables with merged cells and header rows; images with captions; LaTeX equations exported as MathML; footnotes; numbered or APA citations linked to the reference list.
- Find & replace, version history with restore, autosave.
Coming soon Suggestion mode/track changes, true page pagination, DOCX export and direct MathML editing.
References: Zotero, Mendeley, Crossref
Available
- Import RIS, BibTeX or CSL-JSON files (exported from Zotero or Mendeley) in the References tab; duplicates are not added.
- DOCX files with Zotero/Mendeley Word-plugin citations are read automatically from the CSL data inside the file.
- Crossref DOI verification: only DOIs are sent to api.crossref.org; results are match, different title, DOI not found, or no DOI.
JATS XML, HTML and PDF
Available
- JATS 1.2: front (journal, epub/ppub ISSN, publisher, authors and affiliations, bilingual abstracts, keywords, dates, license), body (sections, tables, images, MathML equations, footnotes) and back (references).
- The validator checks well-formedness, element order, duplicate ids, cross-references and completeness.
- Article view (HTML) and A4 PDF follow the journal profile. PDF is built on the server with Chrome; if unavailable use Print → Save as PDF.
OJS connection
The Koneksi menu (admin). Just paste the journal URL, e.g. https://site.org/JPMKT or https://site.org/index.php/journal. The version and URL style are detected automatically. Available
| Mode | Requirement | Data |
|---|---|---|
| OAI-PMH | No token; standard OAI-PMH (tested on OJS 3.5; OJS 2.x not yet tested) | Published articles only (title, authors, abstract, DOI); no members or review status |
| REST (OJS 3.x) | API key in the OJS profile (enable api_key_secret in config.inc.php first) | All submissions including unpublished, authors+affiliations, abstract, members, decisions, dates, journal metadata (ISSN, publisher) |
OJS service account
The OJS 3.5 REST token may not download file contents. To fetch the DOCX from Files for Review, store a dedicated service account (Editor/Assistant role, not a personal account) on the connection card. Its password is kept on the server and never sent to the browser; remove it any time.
Sync & enrichment
Scheduled sync (e.g. hourly) refreshes data and enriches articles: affiliations, bilingual abstracts, keywords, emails, dates and references from article pages, JATS galleys or PDFs. If REST fails, the previous REST data is kept.
Automatic metadata
The server can suggest: the current issue, running pages continuing from the last article, a DOI following the journal’s own pattern (learned from articles that already have DOIs), received/revised/accepted dates from OJS, the corresponding author and co-authors, and the license. Each suggestion names its source and confidence; by default it only fills empty fields. API available Coming soon an “Auto-fill” button in the Metadata panel.
Users and access
Available The Pengaturan (Settings) menu (admin manages).
| Role | Rights |
|---|---|
| Admin | All journals; manage users, settings, connections, activity log |
| Manager (per journal) | Edit manuscripts; run sync for the journal |
| Editor (per journal) | Create and edit the journal’s manuscripts |
| Reader (per journal) | View only |
Data (articles, issues, members, reports, manuscripts) is limited automatically to each user’s access. When adding a user, name, email and journal access can be filled from OJS members along with their OJS roles. Passwords need 12+ characters; changing a password ends old sessions; the last active admin cannot be removed.
Pricing and payment
US$1 per published article (Rp15,000 in Indonesia). No subscription and no setup fee; every feature is included. The first few articles are free.
- An article is counted once, when its status becomes Published. Re-exports or revisions are not charged again; unpublished articles are not charged.
- QRIS payments through SumoPod Pay Coming soon. Until live, usage is recorded and billed after the free allowance.
Security and privacy
- The app only reads from OJS; it never writes to your OJS.
- API tokens and the service account are kept on the server (restricted-permission files), never sent to the browser.
- User passwords are hashed (scrypt); login attempts are rate-limited; sessions use HttpOnly/SameSite cookies.
- External parties contacted: your OJS, and api.crossref.org (DOIs only) when you press DOI verification.
- Important actions (login, user changes, settings) are recorded in the activity log.
Known limitations
- Multi-column or unusual-layout PDFs: body/reference extraction from the PDF may be incomplete; the app warns instead of guessing.
- DOCX of unpublished manuscripts can only be fetched through the OJS service account.
- Server-side PDF needs Chrome/Chromium; otherwise use Print.
- OAI-PMH mode gives published articles only, without members or review status; OJS 2.x has not been tested.
